Welcome to Sightline DX

Sightline DX is a discovery and outreach platform for dental practice acquisitions. You define your target market, scan it for practices, score and filter them by acquisition fit, and run personalized outreach — all in one place. This guide walks the typical end-to-end workflow.

1. Define your target market

Every workflow starts with a polygon — a region on the map you care about. Visit Map in the header.

  1. Click the polygon tool in the top-right corner of the map.
  2. Click around the perimeter of your target area, then double-click to close the polygon.
  3. Give it a clear name when prompted (e.g. “Long Island North Shore” or “Westchester County”) and save.

Tip

Smaller polygons scan faster and use fewer API calls. Start with a single ZIP code or neighborhood to see how it works before drawing county-sized regions.

2. Run a scan

A scan discovers every dental practice inside your polygon using public business listings, then enriches each result by crawling the practice website, fetching reviews, and computing a score.

  1. Pick a saved polygon from the sidebar on the Map page.
  2. Click Run Scan and choose a depth:
    • Quick — Google Places only. ~1–2 minutes. Best for previewing a region.
    • Standard — full crawl with providers, services, reviews. ~5–10 minutes depending on practice count.
    • Deep — full crawl plus LEIE background checks and market analysis. ~30+ minutes for large regions.
  3. The scan runs in the background — you can navigate away and come back. Recent scans live on the Dashboard.

Tip

You can re-run a scan on the same polygon later — it deduplicates against existing practices and only adds new ones.

3. Read your results

On a scan results page, every practice appears as a card with a 0–100 score. Color reflects rank:≥70 green 50–69 amber <50 red.

The scoring model sums five weighted categories to 100:

  • Demand & Demographics (25 pts) — population, age, density of the surrounding market
  • Payer & Reimbursement (20 pts) — median household income
  • Access & Visibility (20 pts) — provider count, online scheduling, road frontage
  • Competition & Supply (20 pts) — nearby practices and DSO presence
  • Growth & Stability (15 pts) — population growth, review volume, rating

A separate Medicaid penalty (default 20 pts) is subtracted from the final score for practices that accept Medicaid, since reimbursement compresses margins for PE acquisitions. All weights and penalties are adjustable in Settings.

The sidebar has filters for score range, provider count, scheduling vendor, Medicaid acceptance, DSO presence, and data completeness. The toolbar lets you sort, switch to map view, and bulk-act on selected cards.

Tip

Hover the thin indigo bar at the bottom edge of each practice card to see a completeness breakdown — which signals were found and which are missing.

4. Deep-dive a practice

Click any practice card to open the full detail view. It has nine tabs across the top:

  1. Overview — score breakdown, scheduling status, weekly hours, social profiles
  2. Providers — every dentist, specialist, hygienist, and staff member discovered; bios, dental schools, associations, and social links
  3. Services — treatments and procedures offered
  4. Insurance — plans accepted, Medicaid status
  5. Reviews — individual Google reviews plus an AI summary with a separate red-flag “complaints” section
  6. Background — OIG LEIE exclusion check for every licensed provider
  7. Competition — competitor count within a radius, nearest competitor distance, density score
  8. Market — demographics, household income, age distribution, market saturation, optional drive-time analysis
  9. CRM — pipeline state and activity log for this practice

The header has two re-fetch buttons. Refresh Listing Data re-pulls business listing data and reviews from our public-data sources. Crawl re-runs the extraction on the practice website.

5. Save practices to your CRM

When a practice looks promising, save it to your pipeline.

  1. From a results page, click + CRM on the practice card and pick a stage.
  2. Or open the practice detail page and use the CRM tab.
  3. Visit CRM for the full kanban board.

The default pipeline has seven stages: New → Researched → Contacted → Meeting Scheduled → In Diligence → Passed → Acquired. Drag cards between columns. Double-click a stage header to rename it.

Click any kanban card to open a slide-in detail panel where you can:

  • Add free-form notes and activity log entries
  • Set a follow-up date (overdue ones surface at the top)
  • Log confirmations: email sent, meeting confirmed, response received
  • Capture estimated production for back-of-envelope value

6. Send personalized outreach

From any CRM card, click the envelope (✉) icon to open the dedicated outreach composer for that practice. The hub at Outreach lists every CRM practice with whether a draft exists.

The composer has three columns:

  • Left — practice info, personalization fields (shared connection, school in common, association, etc.), and any research the crawler found (doctor bios, social links, dental schools).
  • Center — subject and body composer.
  • Right — version history of past drafts; click to restore.

Click Generate to create an AI-drafted email personalized with your sender profile, the practice details, and any personalization fields you filled in. Edit freely, save new versions as you iterate, then send via Gmail or copy to clipboard.

Tip

Fill in your sender profile in Settings before generating emails. The AI uses your name, title, firm, and signature; if those are blank, drafts will read like a robot wrote them.

7. Settings & customization

Settings has three panels:

  • Sender Profile — name, title, firm, email, phone, signature, optional scheduling link (Google Calendar or Calendly). Used in AI outreach drafts.
  • Production Estimate — average production per provider per year. Used by CRM to show a rough valuation per practice.
  • Score Weights — six sliders (five category weights + the Medicaid penalty) that define your scoring model. Categories must sum to exactly 100. Two presets are provided: PE Acquisition Focus and Patient Quality Focus.
  • Templates — save the current weight configuration as a named template. Apply it from any results page to instantly re-rank without changing stored scores.

Every page has a small ? button in the bottom-right corner — click it to open a slide-in quick reference with concise notes on scoring, providers, background checks, CRM, and settings.
